This policy explains how QubitSolutions (“we”, “us”) handles personal data when you visit our website, contact us, request a quote, apply for a job or work with us as a client. Our registered business name and address are shown on our Contact page.

We have tried to write this in plain English. If anything is unclear, ask us using the details on the Contact page.

1. Who is responsible for your data

For personal data collected through this website and in our dealings with you, we are the data fiduciary under India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”). That means we decide why and how your data is processed and are responsible for protecting it.

When we build or run software for a client, the client is usually the data fiduciary for its own customers’ data, and we process that data on the client’s instructions under our contract with them. Questions about that data should go to the client first.

2. What we collect

Information you give us. When you fill in a form or write to us: your name, email address, phone number, company, role, and whatever you tell us about your project, such as service interest, budget range, timeline and attached documents. Job applicants also share a CV and related details.

Information collected automatically. When you use the website: the pages you visit, the page you arrived from, campaign tags in the link (UTM parameters), device and browser type, and an approximate location derived from your IP address. Analytics data is collected only after you consent, as described in our Cookie policy.

Information from clients. During a project, we may receive contact details of your staff and, where the work requires it, data held in your systems.

We do not ask for sensitive information such as financial account details, health information or identity documents through our website forms. Please do not include them.

3. Why we use it

  • To reply to your enquiry, prepare quotations and arrange meetings.
  • To deliver and support projects under a contract with you.
  • To consider job applications.
  • To send newsletters, if you have subscribed.
  • To understand which pages and campaigns are useful, if you have accepted analytics.
  • To protect the website from spam, fraud and abuse.
  • To meet legal, tax and accounting obligations.

We process your data on the basis of your consent, given when you submit a form or accept analytics, or for legitimate uses permitted by the DPDP Act, such as performing a contract you have asked for or complying with law.

We do not sell your personal data. We do not use it for automated decisions that have legal or similarly significant effects on you.

4. Who we share it with

We share personal data only with service providers that help us run our business, and only as much as they need. These include website and database hosting, email delivery, spam protection, analytics (with your consent) and, for clients, accounting and payment providers. They act on our instructions and are bound to protect the data.

We may also disclose data where the law requires it, for example to tax authorities or in response to a lawful request from a government agency or court.

Some service providers may store data outside India. Where they do, we rely on transfers permitted under the DPDP Act and choose providers with appropriate security commitments.

5. How long we keep it

  • Enquiries that do not become projects: up to 24 months after our last contact, then deleted or anonymised, unless you ask us to delete them sooner.
  • Client records: for the duration of the relationship and afterwards as long as required for tax, accounting and legal purposes.
  • Job applications: up to 12 months, so we can contact you about future roles, unless you ask us to delete them earlier.
  • Newsletter subscriptions: until you unsubscribe.
  • Analytics data: in aggregated or pseudonymised form for up to 26 months.

6. How we protect it

We use reasonable security practices, as expected under the Information Technology Act, 2000 and the rules made under it, and the DPDP Act. These include encrypted connections, access limited to people who need it, strong authentication for our systems, logging of administrative access, and regular backups. No system is perfectly secure, but we work to keep risk low and we review our practices as threats change.

If a personal data breach occurs that affects you, we will notify you and the Data Protection Board of India as required by law.

7. Your rights

Under the DPDP Act, you have the right to:

  • ask for a summary of the personal data we hold about you and how we use it;
  • ask us to correct, complete or update it;
  • ask us to erase it, where we no longer need it for the purpose it was collected or a legal requirement;
  • withdraw consent at any time, as easily as you gave it, without affecting processing already done;
  • have your grievances addressed; and
  • nominate another person to exercise your rights in the event of your death or incapacity.

To exercise any of these rights, contact us using the details on our Contact page. We may need to verify your identity before acting on a request. Every marketing email includes an unsubscribe link.

8. Grievances

If you have a concern about how we handle your data, please contact us first using the details on our Contact page, marking your message “Data protection grievance”. We will acknowledge it and aim to resolve it within the time required by law.

If you are not satisfied with our response, you may file a complaint with the Data Protection Board of India.

9. Children

Our website and services are meant for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us personal data, contact us and we will delete it.

10. Changes to this policy

We will update this policy when our practices or the law change, and revise the date at the top. Significant changes will be highlighted on the website.
